How to Submit Your Artwork

On Website

Many of our awards can be customized with your logo or design. If you see “Use Custom Design” listed as an option on the product page for the product you have selected, you may submit your artwork using an upload tool we provide which allows you to upload artwork from your desktop.

Within the product you are ordering:

  • Click on the "Upload your design" button
  • Select a file from your computer and click "OK".

Your artwork will be attached to the product you are ordering and will automatically be sent to us with your completed order. This is the preferred way to submit your artwork.

By Email

If you choose to email your artwork separately after your web order has been processed or have placed a phone order:

  • Please wait to email your artwork until your order is placed to ensure we match up your artwork to the proper order.
  • Please read Artwork Requirements (below) for file preparation tips, techniques, and requirements for the best reproduction of your logo or design. We prefer 300dpi PDF, EPS, or AI files. We also accept JPEG or TIFF files.
  • Submit your artwork attached to an email to: info@hodgesbadge.com. To help us help you, please include the following information with your email and attached artwork:
  • Name
  • Organization
  • Zip code
  • Daytime Phone Number
  • Customer Service Representative (if known)
  • Order Number (from order confirmation, if ordering from web site)
  • How was your order placed? (phone, email, web site, fax)
  • Product(s) on which artwork will be used

Artwork Requirements 

We prefer 300dpi PDF, EPS, or AI files. We also accept JPEG or TIFF files. If you require PMS colors, please specify them when placing an order or requesting a quote. While we cannot match PMS colors precisely, we will make every effort to come as close as possible. Artwork charges may apply for ribbons with more than 2 PMS colors ($5 each for additional Close Match PMS colors). We print in CMYK and use the Solid Coated and Uncoated PMS Plus Series Formula Guide as a reference. Please note that PMS colors cannot be matched for hot stamped products and UV printed products.

Charges may apply if artwork needs to be created or re-touched. All modified artwork may need approval before we begin production on your order. Please respond to the approval request within 24 hours of receiving the modified art. This will avoid any delay, additional shipping charges and/or premium processing fees.

Submitting Black and White Designs 

Please use these guidelines when preparing artwork for the following products: 

  • Hot stamped ribbons, rosettes and sashes 
  • Gold rim and satin finish rosette centers 
  • Rider numbers 
  • Black designs on printed medal centers 
  • Engraved products 
  • Custom medals and coins 

When submitting black and white artwork: 

  • Black and white artwork should have clean, sharp, crisp and solid black lines on a white background. 
  • There should not be any shadows, gray, colored or shaded areas. 
  • Type must be clean and sharp. 
  • Artwork that has less detail will print better. 

We accept the following file types: 

  • AI or EPS (Illustrator vector file) 
  • PDF (Illustrator vector or Photoshop file) 
  • TIF (300 dpi) 
  • JPG (High Quality) 

When sending vector files all fonts must be converted to paths. 

  • Designs that are too blurry will need to be recreated. 
  • Shadows and shadings will have to be removed. 
  • Multicolor designs will have to be recreated in black and white 
  • Designs should be clean, sharp and solid.

If artwork doesn’t follow the above guidelines or is sent in a file type other than listed above, art charges may apply. Our graphics department reviews all submitted artwork. If the artwork is not suitable, there will be an art charge estimate and suggestions given by our graphics department. We will not proceed until the suggested changes and charges meet your approval.

Submitting Multicolored Designs

Please use these guidelines when preparing artwork for the following products:

When submitting photographs: 

  • Send high-quality, high-resolution photos with a DPI of at least 300dpi. 
  • Please do not crop the photograph. 
  • We recommend leaving it up to our graphics department to layout and crop the photo to best fit the requested product. The photo must be clean and sharp. Blurry photos do not reproduce well. 
  • Art charges may apply to add text, clip art or alter photos in any way. 
  • Digital photographs reproduce better than printed or scanned photographs. 
  • Photos that are blurry do not reproduce well and are not recommended. 
  • Photos should not be cropped. This may require our graphics department to recreate the background. 
  • Photos should be clear and sharp. Please leave ample image area around the main subject. Our graphics department will then decide how to best fit the photo to the product.

When submitting multicolor logos/designs: 

  • Artwork must be clean, sharp and crisp. Vector files are always preferred but not necessary. 
  • If you require PMS colors, please specify them when placing an order or requesting a quote. While we cannot match PMS colors precisely, we will make every effort to come as close as possible
  • We recommend sending the art close to production size or larger. For example, if the art is going on a 3” button, it should be sent at least 3” in diameter. 
  • We require a 1/2” bleed around the image, when sending artwork with a background. 
  • Designs that are too blurry will need to be recreated. 
  • Designs should be clean, sharp and crisp.

Submitting Artwork for Vinyl Banners 

  • Artwork must be sent as vector art or sent in at the actual size of the banner.
  • Art must be clean, crisp and sharp.
  • When submitting vector files, all fonts must be converted to paths before sending.
  • Our graphics department can convert most artwork into a vector image at an additional art charge. Photographs cannot be made into vector and must be sent at actual size.
  • When sending vector files all fonts must be converted to paths. 

We accept the following file types for vector art: 

  • AI or EPS
  • PDF

We accept the following file types for non-vector images/artwork such as photographs

  • TIF (at least 300 dpi)
  • JPG (High Quality)
  • PDF
